K-12 Schools

One system for the register, the fee counter and the report card

Elevate ERP runs the daily work of a CBSE, ICSE or State Board school: admitting and enrolling students, billing and collecting fees, scheduling exams and generating report cards from the marks entered, marking attendance and chasing shortfalls. Below is what it does, in enough detail to check — and then, in the same shape and the same size, what it does not.

What a K-12 school gets

Every line below names something you can open in a demo and watch work. Where a capability is real but partial, the limit is in the same sentence rather than in a footnote.

Admissions and enrolment

A multi-step admission form that creates the student and the linked family record together — father, mother, a separate guardian where there is one, address, blood group, allergies, special-care notes, emergency contact, and the previous school with its transfer certificate number. Category and the RTE quota flag are recorded on the form and read by fee concessions. Roll numbers come from a transactional counter that cannot hand the same number to two students. Enrolling a whole school from a spreadsheet maps your columns, validates every row before anything is written, detects duplicates and siblings, and hands the failed rows back to you to fix instead of dropping them.

Fees, ledgers and collection

Fee heads per class, each on its own frequency and due day, each optionally carrying a late-fee rule with a grace period, a flat or percentage charge and a cap. Transport, hostel and lab fees are opt-in heads, so they bill only the students who opted in. Concessions are recorded by type — scholarship, sibling, staff ward, category, merit — as a percentage or a fixed amount with an optional ceiling. Demand bills run for a class in one pass and skip anyone already billed for that period. Every payment produces a numbered receipt PDF on A4 or an 80mm thermal roll, reprints watermarked DUPLICATE, numbered from a single counter so there are no gaps.

Online payment, and a UPI QR that carries the amount

Collection runs through your own Razorpay, PhonePe or Paytm merchant account, so settlements land in your bank rather than ours. The server reads the demand and refuses unless the requested amount equals the outstanding balance to the paisa, and the gateway callback is verified with an HMAC-SHA256 signature under a constant-time comparison before any receipt is written. Enter your UPI ID once and the counter produces a real scannable QR carrying the exact amount and a reference, plus a printable A4 poster for the office wall. After a parent scans it, a member of staff still records the payment — the QR does not reconcile itself.

Exams, marks and report cards

Build a datesheet paper by paper; two papers on the same class at the same time will not publish, and two papers less than about a day and a half apart are flagged while you are still editing. Mark entry takes a lease, so a second teacher opening the same class and subject sees who holds it and can only take over explicitly, stamped into the record. Report cards are then generated from the marks entered: a per-subject table, totals, a percentage, a letter grade on eight bands, and the student’s rank in the class. The band boundaries — 91, 81, 71, 61, 51, 41, 33 — are fixed in the software at the familiar CBSE-style values. No board has reviewed the output.

Attendance, and the letters that come out of it

Mark a class on the keyboard across six states — present, absent, late, half day, leave, medical — with anyone left unmarked treated as present, so a full class takes one pass. A monthly register per class prints for checking against a paper one. Students below three quarters of the working days are listed, ignoring anyone with too little data to judge, and one press produces a warning letter as a PDF to the guardian on the record, or a ZIP for the whole list. Approved leave sits on the same record, so a shortage figure reflects absence that was authorised.

Biometric and RFID gate attendance

Readers of the ZKTeco and eSSL lineage — K40, K50, SpeedFace V5, X990, K30 — push punches over the iClock protocol they already speak, on the schedule set on the device. Punches are acknowledged with a count, so the reader retries what was not accepted rather than dropping it. You enrol a person against their reader ID, watch the gate live, set the rules that turn a punch into a present, a late or a half day, and walk one person’s actual punch chain when a mark is disputed. This needs a compatible reader on your network; none is supplied.

Timetable, transport and library

Define the period structure once, then build each section’s week against it. A teacher booked twice, a class booked twice and a room booked twice are all refused at the point of entry, and a substitution board covers the morning a teacher calls in. Transport keeps vehicles, drivers, routes and stops, with passengers allocated from the student register and a live trip position that comes from the phone travelling in the vehicle — not from fitted tracker hardware, of which none is supplied. The library catalogue issues and returns against the same student records, with lending rules in settings rather than in a librarian’s memory.

ID cards, notices and the student portal

Print a class set of cards at the real CR80 credit-card size from the register you already have, as duplex CR80, A4 duplex, A4 fronts, or a ZIP for a card vendor. Notices are addressed to the whole school, named classes or sections, individual students, a transport route or a saved group, with scheduled publishing and automatic expiry. Students sign in to their own portal for timetable, subjects, published exam results, attendance, fees, library, transport, leave requests and notices filtered to their class — and can pay fees there, raise a doubt that lands in a staff inbox, and hand in homework with real file uploads.

What it does not do for a K-12 school

The list a segment page normally leaves out. If one of these is the thing your school actually needs, it is cheaper for both of us that you know now.

No SMS and no WhatsApp sending

A notice reaches the noticeboard and the student portal. It does not go out as an SMS or a WhatsApp message: there is no SMS integration in the product, and the WhatsApp credentials in the codebase are placeholders. Email leaves the platform for transactional things — a login, a form receipt — not as a bulk parent broadcast. If your current process depends on a morning SMS blast, that process does not move here yet.

No parent login and no mobile app

Guardians are records on the student — named, contactable, printed on the card and addressed on a letter — but they do not have accounts. There is no parent portal, no native Android or iOS app, and no push notifications. The one self-service login that exists is the student’s.

No payslip yet

Staff records and per-employee salary structures are real. A monthly payroll run is not finishable: both calculation paths refuse without a finalised monthly attendance summary, and nothing currently mounts the screen that finalises one. Treat payroll as unavailable rather than as almost-ready.

No admission enquiry pipeline

Once you decide to admit a child, the admission form and the register handle everything after that. What happens before — an enquiry logged at the desk, a follow-up call, a conversion rate — has no screen. The word appears on our own pricing page as a module key; that is a packaging label, not a shipped feature, and it is being corrected.

The grade bands and the 75% rule are fixed

Report cards compute a letter grade on eight bands at 91, 81, 71, 61, 51, 41 and 33, and the attendance shortage list uses three quarters of working days. Both numbers are written into the software. There is a grading-scale dropdown in settings whose "customise" button opens nothing, so if your school grades on different boundaries, assume you cannot change them today.

No board or government integration

Nothing here talks to a board portal, UDISE+, APAAR, DigiLocker or a state MIS. Report cards follow familiar CBSE-style formatting because that is what Indian schools recognise, and no board has reviewed or approved any output. Elevate is not affiliated with, endorsed by or certified by CBSE, CISCE or any state board.

Hardware you supply, and one thing you still do by hand

Biometric gate attendance needs a compatible ZKTeco or eSSL reader on your network; the live bus position comes from a phone in the vehicle, not a fitted tracker. Neither is sold with the software. And a UPI QR payment still has to be recorded at the counter by a person — the QR carries the amount, but nothing reads your bank statement back.

Elevate ERP is built by Omniflux. There is no named support rota and no response-time commitment; questions go to [email protected]. If anything on this page does not match what you are shown in a demo, that is a defect on our side — tell us and it gets corrected here.

The modules behind this

A K-12 school runs mostly from these six. Descriptions are read from the module index, so they cannot drift from what all twelve modules say about themselves.

See it against your own school

A demo on your class list, your fee heads and your exam pattern — so you can check the report card and the receipt, not a screenshot.
